ACCESS TO INFORMATION

Our classification, organization and inventory of files allow clients to evaluate what information they have and what information they lack reliably and accurately. Part of our classification service is to help a client define the parameters and assumptions under which both historical and current information will be classified, and the criteria and authorizations under which such information can be consulted by different users in the organization.

Queries of the database are made through a personalized on-line tool developed by DOCSOLUTIONS called "DOCACCESS." This allows authorized users to search for the information they need and either request the corresponding physical files or view them in digital format immediately. Multiple users have simultaneous access to the same files.

The construction of physical and digital files, in accordance with a framework that is individually tailored for each company or institution, allows for the definition of periods of validity and retention within a documentary series, so that obsolete documents can be destroyed, preventing uncontrolled growth of the files or of the electronic space they use, guarding against the risk of over-retention of information.
